Job Title:Project Assistant
Department: Projects
Reporting to: Projects Manager
Location:Head Office

General Purpose
To plan, execute, and finalize projects according to strict deadlines and within budget, to acquire resources and coordinate the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan and to and oversee quality control throughout its life cycle.

Main Duties and Responsibilities
  • Supports project implementation from beginning to end;
  • Achieves objectives in stipulated time and budget
  • Prepares and submits progress reports on timely basis
  • Liaises with project stakeholders on an ongoing basis;
  • Develops and implements project communication
  • Briefs the projects manager frequently;
  • Develops and delivers interpreted terms of reference, inception report, progress reports, proposals, requirements documentation and presentations to higher management for scrutinizing;
  • Suggests new policies and modifications in order to reform the nature of work;
  • Sees to it, that the task is performed efficiently and effectively;
  • Defines project scope, goals and deliverables that support business goals;
  • Effectively communicates project expectations to team members and stakeholders in a timely and clear manner;
  • Where required, negotiates with other department managers for the acquisition of required personnel from within the company;
  • Determines and assesses need for additional staff and/or consultants and make the appropriate recruitments if necessary during project cycle;
  • Sets and continually manages project expectations with team members and other Stakeholders;
  • Identifies and resolves issues and conflicts within the project team;
  • Plans and schedule project timelines and milestones using appropriate tools;
  • Tracks project milestones and deliverables;
  • Determines the frequency and content of status reports from the project team, analyzes results, and troubleshoots problem areas;
  • Proactively manages changes in project scope, identify potential crises, and devises contingency plans;
  • Defines project success criteria and disseminate them to involved parties throughout project life cycle;
  • Coaches, mentors, motivates and supervises project team members and contractors and influences them to take positive action and accountability for their assigned work;
  • Builds, develops, and grows any business relationships vital to the success of the project.
  • Conducts project post mortems and creates a recommendations report in order to identify
  • Updates relevant sections of the website regulary;
  • Develops best practices and tools for project execution and management.

  • Proven experience in strategic planning;
  • Knowledge of project management techniques and tools;
  • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities;
  • Computer literacy with project management software to establish an effective management;
  • Direct work experience in project management
  • Flexible during times of change;
  • Strong written and oral communication skills;
  • Strong interpersonal skills and customer service skills is an asset;
  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial;
  • Reacts to project adjustments and alterations promptly and efficiently.
Job Specifications
  • A degree in business administration/project management or other business related studies;
  • Must have worked as a project coordinator or assistant in a busy consulting firm;
  • Excellent computer skills
