Twaweza Program Assistant Job in Kenya

Twaweza, a dynamic East Africa wide organization, is looking for a competent, effective and energetic Program Assistant based in Nairobi
PROGRAM ASSISTANT
Salary Grade: 3

Reports to: Uwezo Regional Manager

Location: Nairobi, Kenya

Start Date: As soon as possible

Overall Responsibilities
Support the Programs team to effectively achieve its goals and deliver on its outputs and work plan for Uganda.

Specific Responsibilities
  • Manage country office program activities by organizing meetings, making travel and hotel bookings, sending invitations and preparing materials for meetings;
  • Support in the compilation of reports and publications to the Regional Office;
  • Keep abreast of the country program and ensure that activities are implemented as per set
    calendar;
  • Ensure all files and documentation – including contracts, proposals, and – are well organized digitally as well in hard copy and regularly updated.
  • Ensure that invoices (payment vouchers) are processed for payment on time and are well documented;
  • Assist in the drafting of consultancy contracts, process consultants’ expense reports, and coordinate consultants’ travel needs;
  • Assist in closing the documentation cycle in contract management and payment processing;
  • Draft letters and undertake basic correspondence on behalf of the Program unit in Kenya;
  • Assist in scheduling appointments for the Uwezo Country Coordinator
  • Assist in collecting data from partner organizations for monitoring purposes, and entering such data;
  • Support program team and other management level staff upon request of the Regional Program Manager and Uwezo Country Coordinator.
General Responsibilities
  • Successfully implement above responsibilities and assigned activities (and associated budgets) in work plans, consistent with Twaweza Policies
  • Contribute effectively to planning, monitoring, reporting and information dissemination of Twaweza’s work
  • Comply with and foster adherence to the established Twaweza policies, regulations, guidelines and procedures.
  • Participate actively in organization‐wide learning and other joint activities
  • Undertake any other lawful tasks as may be assigned by the Supervisor.
Core Qualifications
  • Bachelor’s degree in a relevant field;
  • At least two years’ experience related to your responsibilities ;
  • Very good writing skills in English with keen attention to detail;
  • Basic knowledge of development and governance issues;
  • Strong computer and typing skills and use of database and internet;
  • Very good organizational skills.
