Procurement / Administrative Assistant job in Kenya

PROCUREMENT/ADMIN ASSISTANT
Job Description and required qualifications
(Important Note-Position open to Kenya nationals only)

Under the supervision of the Project Accountant at the Head Office, with close oversight from the Counselling Psychologist, the incumbent will carry out the following functions:
  • Man the telephones including switchboard, mobile phones, fax, email etc
  • Attend to all guests/visitors
  • Dispatch all the mail-postal or hand deliveries including shipment/courier of documents to outer stations
  • Prepare and file documents
  • Custodian of stationery and responsible for dispatch of stationery to staff
  • Keeping and updating the inventory listing
  • Handling the staff leave application forms and filing of statutory documents in liaison with head office
  • Handling quotations and deliveries, etc
  • Ensuring maintenance of office equipments including computers, copier, vehicle, generator, telephone, etc
  • Handle the petty cash payment and custody
  • Arranges local transportation and movement of site office vehicle(s)
  • Photocopying of accounting documents for headquarters reporting
  • Takes minutes of meetings and keeps clear records of the meetings
  • Directly supervise the Driver/Messenger, Office Attendant and indirectly supervise the external guards at the site level.
  • Coordinating the procurement process from enquiries, sourcing for quotations, raising purchase orders and flowing deliveries to appropriate personnel.
  • Supervise the distribution of food by social workers and keep records on the same
  • Reviewing requisitions for completeness and accuracy.
  • Processing requisitions into purchase orders.
  • Organizing and maintaining computerized records containing vendor and bid information.
  • Good planning and timely delivery of materials and services from suppliers.
  • Performing general clerical duties such as maintaining general files, typing, data entry and completing and processing standard purchasing forms.
  • Corresponding with vendors regarding prices, product availability, and delivery.
  • Perform other duties as required.
Education
A Diploma in Administration and/or related field. Degree will be an added advantage.

Skills and Competencies
Secretarial Qualifications/computer knowledge and bookkeeping

Experience
Not less than 1 year previous job experience.

Languages:
Proficiency in English, Swahili
