Facilities Manager

Duties & Responsibilities




- Arrange services of project and technical staff and contractors.

- Co-ordinate third party services of project and maintenance

contractors, suppliers, vendors and deals with them on a daily basis.

- Control, schedule and implement regular preventative maintenance

programs in line with budget constrains.

- Motivation of refurbishments and major repairs as appropriate.

- Attend/Conduct site meetings with relevant contractors in respect of

maintenance and expansions and projects.

- Monitor progresses.

- Responsible for compliance of Health and Safety act.

- Liaise with tenants with regard to operational problems.

- Keep abreast of activities in respect of tenant movements and new

developments.

- Provide assistance to emergency call outs.

- Day to day running and control of, but not limited to;





1. Air-conditioning systems.

2. Services (Plumbing, Electrical, Mechanical.)

3. Pre-authorisation of orders and invoices for payment.

4. Conducts periodic inspections of facilities, assesses problems and

needs and

5. implement the appropriate corrective action.





- Co-ordinate project and maintenance activities.

- Ensures that facilities are well maintained and in good repair.

- Direct projects and preventative maintenance procedures as appropriate.

- Ensure that projects and facilities are in compliance with established

procedures, policies and codes.

- Ensure projects and maintenance work is carried out with the minimum

interference to the day to day operations.

- Liaison with appropriate Government, Provincial and/or local

authorities.

- Maintain a hands-on control of projects in hand.

- Ensure compliance with legal regulations.

- Conduct regular OSH inspections and ensures that OSHA requirements are

effectively implemented and adhered to.

- Ensure cost effectiveness and best performance of contractors.



Soft Services Management



- Types and assembles a variety of documents including memos, letters,

reports, proposals and agreements.

- Files correspondence & maintain filing system. Establish and implement

processes and procedures

- Communicates with clients and management

- Manage Soft service contracts through monthly performance measurements

against SLA’s/ KPI’s

- Complete checklist and ensure supplies are replenished

- Manage Plants, cleaning, waste removal, landscaping and hygiene

services



Education/Certification



- Business Admin and Marketing Certification

- Engineering Diploma



Required Knowledge



- Extremely good working knowledge of the MS Office

- Knowledge of budgeting, service contracts and service level agreements



Experience Required



- Excellent understanding of Facilities management and management

procedures

- Three to five years of administrative experience, planned maintenance

related experience, supervisory experience.

- Management training would be an added advantage
