Human Resources Officer
 
Job Objective: To coordinate the day-to-day operations of the Human Resources department.
 
Duties and Responsibilities:
 
1. Ensure proper maintenance of HR filing system, updating and follow up of staff and departmental records/data such as
  • Leave records
  • Meeting minutes
  • Medical records
  • Performance appraisal records
2. Manage the HRMIS (ERP) including leave management, pay slips link; and monitor HR website homepage in conjunction with webmaster and HRD
 

3. Support the recruitment and selection function through
  • Conducting Employee induction process
  • Contract renewal letters and confirmation letters
  • Issuance of letters to new contract staff
4. Liaise with the medical broker and assist in managing the medical scheme by
  • Requesting for utility reports
  • Advising staff regularly on medical utility
  • Coordinating a staff health education day
5. Manage expatriates employees with respect to the following areas; visa and work permit assistance, accommodation, and transfers/transportation
 
6. Organize staff related functions including staff meetings, staff sports day, seminars, end-year parties
 
7. Coordinate and manage the student attachment and internship programs
 
8. Monitoring of employee absenteeism, sick off and daily related employee welfare and inform the HRM
 
9. General correspondence - administrative letters, employment confirmations, bank confirmations, etc;
 
10.Coordinate the exit / clearing procedure of staff who resign / are terminated – clearing accounts, exit interviews;

11. Provide support in preparing the HR department budget.

12. To perform any other duties as may be assigned by the HR Director from time to time.

Qualifications and Experience
 
The candidate should possess the following qualifications and experience.
  • At least a Bachelor’s Degree in Social Sciences
  • Professional qualification in relevant field
  • 3 years’ experience in a busy HR environment
  • Current membership of the IHRM is mandatory
Other Skills and Competencies
  • Good organization, interpersonal and communication skills;
  • Good analytical skills;
  • Experience resolving conflicts;
  • High level of confidentiality;
  • Ability to meet deadlines; and
  • Computer literacy and ability to manage a HRMIS
