Procurement Intern job in Kenya

Job title: Procurement Intern

The job holder will provide support in the areas of procurement of goods, services and grant management. 
S/he is expected to perform their duties in a way which encapsulates integrity and probity while ensuring that the quality of service delivery is consistent, efficient and responsive. 
S/he will come into regular contact with a wide range of staff/suppliers and the ability to communicate clearly and succinctly is therefore critical. 

Roles and responsibilities
  • Develop a programme which has clear objectives on what s/he would like to achieve at the end of the internship.
  • Familiarisation with all projects within the agreed portfolio.
  • Assist teams within the agreed portfolio including developing and maintaining prioritised Procurement Plans.
  • Ensure that the procurement log is kept up to date.
  • Participate in and learn from, the process of setting up framework arrangements for TMEA.
  • Familiarisation with procurement input at all stages of project cycle management.
  • Draft advertisements and when approved, coordinate placements in agreed media.
  • Prepare draft contracts/grants for signature, ensuring that supporting documentation, waivers where necessary, etc are approved at the appropriate level.
  • Monitor issuance of contracts and receipt of signed versions from consultants.
  • Ensure relevant supporting documentation relating to contracts is readily available on the J Drive and can be retrieved easily (including by anyone outside the procurement team).
  • Ensure signed (hard copy) contracts and amendments are properly filed.
  • Assist teams in monitoring performance by consultants/companies, reviewing receipt of reports and assisting teams in quality control.
  • Monitor invoices to ensure they comply with the contracts, have appropriate TMEA approval for payment and ensure payments are made within deadlines.
  • Ensure that any assets/capital items purchased are recorded on the appropriate register.
  • Use TMEA’S monitoring, evaluation and learning systems and processes.
  • Any other duties delegated by the Senior Procurement Manager.

Academic and professional qualifications
  • An undergraduate degree in procurement or related field or evidence of ongoing undergraduate studies in procurement or a procurement related field. Work experience
