Administration Assistant
MSF Switzerland (MSF CH) is a humanitarian medical organization providing emergency medical aid to populations in need. MSF CH operates in South Sudan since 1996.
Location: Nairobi 

Start date: 03 March 2013 
Type of contract: 6 months fixed term contract
 

Scope of responsibilities:
The Administration Assistant directly supports the Human Resources & Administration Manager and Coordinator as well as the Finance Manager and Coordinator. The person is situated in Nairobi office and works for the South Sudan Mission. 


Responsibilities includes primarily:
· Responsible for one or several cashboxes and for timeliness and quality paper accounting
(vouchers), and Saga data (accounting software) entry according to MSF standards.
· Ensure control of receipts and payments to suppliers comply very strictly with MSF

financial guideline, and the purchasing / validation / payment procedures for the mission.
· Ensures proper follow-up of international staff arrivals/departures and stay in Nairobi.
· Administrative briefing of newly recruited regional staff.
· Supports and provides assistance to a qualitative recruitment process for South Sudan mission in Nairobi.
· Applies MSFCH policies and management procedures and tools.
· Assures a proper management with Homere(payroll/HR software).
· Keeps personal files up-to-date at all time.
· Follows and signals Contract information of Regional Staff.


Recruitment criteria:
· Certificate or diploma in business administration, hotel or HR management or similar education,
· Excellent computer skills and command of written and spoken English
· Minimum one year experience in HR/Admin/Finance and familiarity with MSF tools and
procedures and/or minimum 3 years relevant experience with demonstrated skills, other NGO
experience is an added value


Personal qualities:
Ability to work independently, high sense of responsibility, mature person with good organization and communication skills, ability to listen, diplomatic, flexible and open-minded.
