Position Title: Administration Assistant
Company: SOFGEN Africa Ltd.
Responsible To: Chief Executive Officer
Location: Nairobi, Kenya
Liaises with: Human Resources Officer, Finance Executive
Job Purpose:
To perform all administration related work for the Africa division including general office
management, logistics planning and marketing support
Duties & Responsibilities:Answering the phone and managing international conference calls
Stationery and office supplies management
Meeting/boardroom room booking and preparation before & after meetings
General office administration
Managing travel & hotel arrangements for business development team
Handling of all postal and courier mail services with discretion
In charge of parking badges and office access
Organizing Christmas parties and all kinds of employee activities e.g. team building events
Providing logistic support to PMs and MCs
Ensuring that SOWs and Contracts are executed and that alert when the company is not in compliance with contractual obligations
Taking custody of relevant project documentations
Obtaining competitive air fares and making travel arrangements
Carry out additional responsibilities assigned by the CEO
Responding to marketing inquiries -walk-in clients & phone calls
Maintaining customer relationship and proposal databases for SOFGEN Africa
Writing of cards for ALL kinds of key client events: birthdays, Christmas, New Years, etc.
Research, collate, gather and prepare tender documents / presentations
Carry out additional responsibilities assigned by the CEO
Basic Qualifications & Skill Set:
2+ years of Administration experience
Degree in B.Arts or equivalent
Diploma in Typewriting and Office Practice
Proficient in Microsoft Office tools -Word, Excel, Powerpoint, Access & Sharepoint
Demonstrated organizational skills
Excellent written and verbal communication skills
Energetic and autonomous disposition
Ability to adapt to a multi-cultural environment
Dedicated with a take-charge attitude
Able to work under pressure
Good interpersonal skills
Ability to multi-task in a fast paced environment
