JOB DESCRIPTION
Job title: Programme Intern
Unit/dept/delegation: Programme Team Nairobi
Reports to: Programme Officer Nairobi
Responsible for: Supporting administrative activities
Purpose
To support the implementation of the activities of the East Africa Programme Team through providing support to all members of the team in the overall administrative function. The internship programme is available for students; the duration of the internship will be eight weeks.
Duties applicable to all staff
To uphold the Fundamental Principles of the Red Cross and Red Crescent Movement and to work within the framework of the BRCs Equal Opportunities Policy.
Perform any other work related duties and responsibilities that may be assigned by the line manager.
Key tasks and responsibilities:
Welcome Services
Attend to visitors, welcome them to the Programme office and assist them to visit relevant units, IAWG meetings
Acknowledge visitors agenda of the day and to provide their drinks (eg: mineral water bottle etc) during the visit
Organize the booking of of rooms and snacks for the meetings inside the Nairobi office
Administrative
Attend and take minutes in meetings as required.
As requested by Programme Coordinator members, undertake general photocopying, faxing, scanning, filing, records, data entries and preparation of printed material
Liaise with office suppliers to ensure office stocks are in place
Schedule internal and external meetings with the reception desk
Preparation of TAF ,requisitions and insurance
Finance
To prepare Purchase Requisition and Purchase Order forms for procurement and arrange for signature
Preparation of cash request with guidance on the coding from the PO
Reporting and research
Undertake research on specific topics as requested by TSU Team members
Maintain stocks of promotional materials, tools and guidelines on behalf of the TSU Team
Workshops Assistance
Support the preparation of workshops, trainings and meetings
Prepare welcome packs for participants of workshops, trainings and meetings
Standby at workshop/training/meeting venue and provide assistance in registration, photocopying, faxing, equipment set up and any other relevant official request when required
Information distribution
Circulate information within the TSU team
Person Specification
Education
Persuing undergraduate degree
Experience
2 years experience in Human Resources; recruitment and selection, documentation and reporting.
Languages
Fluency in English-spoken and written
Desirable: Good knowledge of French language – spoken and written
Skills and Knowledge
Experience in the usage of computers (windows, spreadsheets, word processing).
