Duty Station: Dadaab, Kenya
Position Title: Administrative Clerk
Classification: Grade G2 (UN Salary Scale for GS staff)
Type of Appointment: 6 months (with the possibility of extension)
General Functions:
Under the general supervision of the Head of Sub office (HSO) Dadaab and the direct
supervision of the Finance/Admin/COS Assistant, Dadaab, the incumbent will serve as the
focal point for all finance and administrative activities related to the Emergency
Transportation projects in Dadaab as follows;
1) Finance Duties:
(a) Checking invoices and obtaining confirmation that the equipment supplies and/or
services they refer to have been duly received or provided.
(b) Plan daily petty cash for field teams and ensure the safe custody of all cash at hand.
(c) Maintain a filing system and ensure that paid vouchers are filed in the order in which
they are entered to cashbook.
(d) Checking and ensuring that all TAs and expense claims are duly completed and all
supporting documents are attached prior to dispatch to MRF Nairobi for computation
and reimbursement.
(e) Prepare daily/weekly/monthly reports as directed by the Finance/Admin/COS Assistant
Dadaab.
(f) Perform any other duties as assigned by supervisor from time to time
2) Administration and Human Resources Duties:
(a) Coordinating relocation team attendance and scheduling according to established
procedures at the Dadaab sub office.
(b) Ensuring that relocation team members leave requests, overtime sheets and timesheets
are properly filled and submitted in time.
(c) Checking and confirming that all Travel Authorizations are duly completed and before
staff is authorised to travel.
(d) Ensuring that the members of the relocation team are issued with valid contracts.
(e) Preparing any reports/Documents as requested by supervisor/HSO Dadaab.
(f) Perform any other duties as assigned by supervisor from time to time.
3) COS Duties:
(a) Ensure that local service providers related to the maintain services as per their
specific contracts.
(b) Advise on contract renewal/cancellation or extension of suppliers/contractors
etc.
(c) Serve as focal point for requisition of supplies / expendable stores in relation to the
relocation exercise from COS Nairobi and local suppliers.
(d) Ensure the correct IOM procedures are carried out for the receipt, issue, and stock
balance for all supplies received from local suppliers and COS Nairobi.
(e) Liaise closely with Lead Driver in Dadaab regarding fuel stocks, vehicle maintenance, and
requirements of relocation teams.
(f) Any other duty as assigned by supervisor from time to time.
Desirable Qualifications:
1. Higher Diploma in Finance, Administration Logistics Management or related
discipline
2. Minimum three years of relevant professional experience in a similar setting and
capacity
3. Excellent computer skills, especially in Microsoft Windows
4. IOM functional competencies required: effective communicator, successful
negotiator, creative analytical thinker, active learner, strong team player and
cross cultural facilitator
5. Mature individual, able to work independently, paying attention to detail and
meeting deadlines
6. Demonstrated ability to maintain accuracy and confidentiality in performing
responsibilities
7. Good knowledge and working experience with HF and VHF Radios
8. Flexible in terms of working hours
9. Candidates from the local community will be given an advantage
10. Excellent command of spoken and written English. Spoken and written Somali
an asset
