Our client is a high-end residential development offering unprecedented choice of the most luxurious holiday homes located on the East Coast of Kenya. 

They seek to get a mature, experienced smart administration officer to be responsible for all administrative and personal assistant work.

Job Duties and Responsibilities
  • To provide administrative support to the Executive Director and General Sales Manager
  • Undertake all front office responsibilities including switch board operation, customer care  and general hygiene of the office
  • Liaising with third parties on procurement, support or sourcing matters
  • Operate manual and computerized office systems
  • Developing databases for the various documents in the organization.
  • Undertake general office duties such as dealing with correspondence, faxes and internal and external e-mail enquiries; drafting and sending standard letters etc. on behalf of the Executive Director.
  • Minute taking for both internal and external meetings and other meetings as required.
  • Preparing reports, contracts, agreements, and letters and ensuring the confidentiality is maintained.
  • reading, monitoring and responding to the principal's email, managing the principal's electronic diary
  • booking meetings and organizing travel and preparing complex travel itineraries
  • planning, organizing and managing events, attending events/meetings as the Executive Director’s representative
  • Sourcing and ordering stationery and office equipment
  • Managing the executive director’s diary, arranging meetings and managing the logistics
  • Writing reports based on projects handled at each particular time
  • Supporting the General Sales manager on all clerical and communication duties.
Knowledge & Qualifications
  • A university or college diploma in business management or equivalent professional qualification
  • At least 4 years solid work experience in administration of a company or organization
  • Advanced proficiency in Microsoft Word, Outlook and Excel
  • Business level English skill (verbal and writing)/ Fluency in Kiswahili would be a positive asset
  • Sound knowledge in administrative management in Kenya
  • Hard working, highly responsible, proactive and self-motivated
  • Flexible, open-minded and honest
