Church Administrative Assistant
Position Description
Lifespring Chapel
OUR MISSION:
The mission of Lifespring Chapel is to develop a whole heart for God, his people and the world through developing biblical maturity, meaningful relationships, biblical stewardship and active participation in missions.
Overview of this Position:
The Church Administrative Assistant assumes the responsibilities as the initial contact point for all business related issues at Lifespring Chapel.  This position has the responsibility for assisting the Associate Pastor in the management of the following functions: Human Resource Operations, the Admin Staff and Office Operations, the Facilities Operations including custodial support and insurance issues, the Accounting and Financial Business Operations and computers and technology issues. The station of operation will be at the front office.
Professional Relationships

  1. The Administrative Assistant reports directly to the Associate Pastor.
  2. The Administrative Assistant is supported by the members of Lifespring Chapel and works for the members and ultimately works in service to God.

Minimum Qualifications:

  1. Displays a loving relationship with Jesus and is deeply committed to His service.
  2. Must have a strong sense of directing the business issues that arrive at Lifespring Chapel.
  3. Must possess strong organizational and interpersonal skills.
  4. Must be a self-starter with the ability to follow through on tasks.
  5. Understands and enthusiastically supports the purpose of Lifespring Chapel, our mission, vision, and core values, and will constantly strive toward Biblical Stewardship.
  6. Is able to set measurable goals.
  7. Is able to identify, motivate and train other staff members and volunteers as required.
  8. Is the model of a Christian in attitude, actions and appearance


Desired Skills:

  1. A Business related Diploma and two years in a similar role at an ongoing business entity is highly desirable.
  2. Excellent oral and written skills.
  3. Has keen eye in the areas of management, finance and budgetary and fiscal related matters.
  4. Experience with general business software (MS Office Package, Quickbooks etc) will be desirable.  
  5. Has strong “people skills” – approachable, friendly and easy to talk with.
  6. Technical competence with drive for personal development.
  7. Ability to lead, motivate and inspire others in creating a high morale environment within the functions supervised.
  8. Has the ability to inspire team orientation amongst co-workers that results in a high dedication to quality and continuous improvement.  

Responsibilities:

  1. Assume responsibilities as the initial point of contact for all business related queries at Lifespring Chapel.
  2. Manage the tasks in Human Resources, the Church Admin Staff, the Facilities Operations and management of spaces including the custodial support, insurance issues, the Bookkeeping and computers and technology maintenance.
  3. Coordinate, respond and disseminate all related business matters that come to the attention of the Associate Pastor.
  4. Analyze business issues; make recommendations to the Associate Pastor and implement programs.
  5. Uphold set administrative guidelines for church operations and a system of controls.
  6. Assist the Pastoral Team, under the supervision of the Associate Pastor, in the development of the annual church budget and recommend and execute possible cost savings, including equipment, service contracts, utility usage, and energy conservation measures.
  7. Advise the Associate Pastor on Insurance Matters, reviewing of insurance needs for adequate coverage of church and property.
  8. Work with the Ministries to support their operations; monitor the technology issues, costs and needs for the application of new administrative systems. Make recommendations to the Associate Pastor for discussion and approval of various technology solutions.
  9. Plan for computer systems maintenance and backup. Provide oversight for implementation of new computer software and training.
  10. Maintain a current Asset Register in accordance with best practices.
  11. Perform performance reviews of all who report to the Administrative Assistant.
  12. Maintain current job descriptions of all who report to the Administrative Assistant.
  13. Assure that the highest standards of ethics and business conduct is maintained.
  14. Maintain a front office image that is consistent with the best practices.
  15. Primary point person for hospitality related matters during working hours and on Sunday.
  16. Carry out any other roles as assigned reasonably by the church
